By accessing or using the services provided by Everest Base Camp Travel, you agree to be bound by the following terms and conditions:

1. Booking and Payments:

Bookings: All bookings must be made through our website, email, or in  person. A completed booking form and initial deposit are required to secure your place on the trek.

Deposit: A non-refundable deposit of 20% of the total trip cost is required at the time of booking. The remaining balance must be paid in full one day before the trek start date.

Payment Methods: We accept payments through the Online Booking System of Everest Base Camp Travel.

Price Changes: We reserve the right to adjust prices due to unforeseen circumstances, changes in government taxes or fees, or currency fluctuations. You will be notified of any price changes before your final payment is due.

2. Cancellations and Refunds:

Cancellations must be made in writing.

Cancellation fees apply as follows:

  • 45 days or more before departure: 80% refund 

  • 10 to 15 days before departure: 50% refund (except deposited amount)

  • Less than 3 days before departure: No refund

No refunds will be granted for unused services or early departures from the trip.

The company reserves the right to cancel or postpone the trip due to unforeseen circumstances, such as weather, political instability, or natural disasters.

3. Responsibilities and Risk:

Participant Requirements: You must be physically fit and in good health to participate in our treks. Please disclose any pre-existing medical conditions on your booking form.

Risk Acknowledgement: You acknowledge that trekking involves inherent risks, including exposure to the elements, wildlife encounters, and potential accidents. You participate in our treks at your own risk.

Travel Documents: You are responsible for ensuring you have all necessary travel documents, including visas, passports, and vaccinations.

Personal Belongings: We are not responsible for the loss or damage to your personal belongings.

Safety and enjoyment are our top priorities, and we are unwavering in our commitment to ensuring a hassle-free holiday for you. Our team operates with professionalism, adhering to Nepalese government regulations. Despite our dedication, unforeseen circumstances may lead to itinerary changes beyond our control, such as government restrictions, natural disasters, or health issues. Everest Base Camp Travel and its affiliates are not liable for such changes, and clients are responsible for additional costs incurred during these situations.

4. Itinerary and Changes:

Itinerary Variations: We reserve the right to modify the itinerary due to weather conditions, safety concerns, or other unforeseen circumstances. We will do our best to maintain the overall experience within reason.

Accommodation and Meals: Accommodations and meals are included as specified in the trip description. Any additional expenses incurred are your responsibility. Also, in the event of changes caused by unforeseen circumstances or weather conditions, accommodation and meals are not included in our packages.

Transportation: Transportation to and from the trek start and end points is generally included. However, if you have booked hotels (before and after the trek) on your own, then the services are not available.

5. Liability and Insurance:

Our Liability: We are responsible for providing the services outlined in the trip description with reasonable care and skill. However, our liability is limited to the total trip cost.

Travel Insurance: We strongly recommend that you purchase travel insurance to cover medical expenses, evacuation costs, and other potential losses.

6. Complaints 

Any complaints or concerns should be brought to the attention of our guide, email us [[email protected]] or staff immediately. We will do our best to resolve any issues promptly and fairly.

7. Applicable Law and Choice of Forum

Everest Base Camp Travel's main office is located in Kathmandu, Nepal. The laws of Nepal govern these terms and conditions. The District Court, High Court, and Supreme Court in Kathmandu, Nepal, shall have exclusive jurisdiction over any dispute arising out of these terms and conditions. There is no case in a foreign country, and the parties agree that the court of Nepal is the appropriate forum for any claim or proceeding commenced in relation to these terms and conditions.  

8. Refusal of Service

At Everest Base Camp Travel, we value a positive and respectful atmosphere for everyone. While we do our utmost to make your journey unforgettable, we reserve the right to refuse service at any point, whether in Kathmandu or on the trek itself. Unacceptable behaviour such as fighting, excessive alcohol consumption, or verbal abuse towards your fellow trekkers or our dedicated guides and staff will not be tolerated and may result in the termination of your trip. Remember, we're all here to embark on an incredible adventure together, and mutual respect is key to making it a truly enriching experience for all.

9. Flight Delay and Changes in Itinerary or Plan

Prepare for unpredictable mountain adventures, primarily due to adverse weather causing domestic flight delays. In the event of delayed flights during departure or return, clients bear all additional expenses. If opting for alternative arrangements like a helicopter flight, all extra costs are the client's responsibility. Everest Base Camp Travel assumes no responsibility for costs resulting from a missed international flight but will assist in alternative arrangements. Note that itinerary changes may occur due to unforeseen circumstances, though efforts will be made to adhere to the plan.

Helicopter Tour and Heli Pick-up/Drop-Off Policy:

Booking & Payment:

100% payment is required to book, guaranteeing your departure on the chosen date.

Weather Cancellation:

5% of the total amount will be deducted for services like airport pickup and drop-off and others.

Group tour cancellation due to weather: flight postponed to next day or later hours when weather improves. There is no refund for cancellations on your end.

Pure helicopter tour cancellation due to weather: Offered alternative tour options or rescheduled for next day as per itinerary.

Cancellation by You:

Cancellation without Operator Permission:

No refunds will be granted for cancellations without operator permission, except in cases where the operator is unable to deliver services due to clear weather conditions.

Pick-up or Drop-off Services:

Cancellations of pick-up or drop-off services after booking are non-refundable, regardless of weather conditions.

Helicopter Tours (e.g., Everest Base Camp):

Weather Cancellation:

In the event of weather-related cancellations, clients will be offered alternative tours or have the option to reschedule for the next available day

Recommendation: Clients are strongly advised to plan for an additional 1-2 days in their itinerary to accommodate potential weather delays associated with helicopter tours. This proactive approach ensures flexibility and a more enjoyable overall experience.

Currency

All trip costs are displayed in USD (United States Dollar). If you choose to make an online payment, the actual exchange rate will be determined by your credit card company. For payments made in local currency for any remaining balances, we will calculate the amount based on the current exchange rates as per the information provided on the website https://www.nrb.org.np/forex/. Please be aware that exchange rates may fluctuate, and the final amount in local currency may vary slightly at the time of payment.

Privacy

At Everest Base Camp Travel, safeguarding the privacy and confidentiality of your personal information is a top priority. Any private or personal information provided during the booking process will not be disclosed for purposes other than those related to your travel arrangements. However, for flight tickets, your personal information may be utilized by our staff and associates, such as hotel staff for bookings and airline staff for flight arrangements.

Publicity

By engaging in our services, you grant Everest Base Camp Travel permission to use images of you captured during the trip for publicity and promotional purposes through any chosen medium. You acknowledge that no recourse or compensation is sought for such usage.

Acceptance of Terms:

These terms and conditions are valid only if you book the trip with us directly. If you book our trip through a third party or any agents, you are liable for their terms and conditions as well as our terms and conditions.
